Updating Customer Details in Bulk in Ordermentum

Ordermentum allows you to efficiently manage your customer details using three different methods


Overview

Ordermentum lets you manage customer details in three ways: one by one from each customer's details page, in bulk from the Customers list, or in bulk via CSV import for more advanced edits. This guide covers the two bulk methods and the key rules to follow so your updates apply correctly.


Before you begin

  • You'll need access to the Customers section in Ordermentum.

  • For CSV updates, you'll need spreadsheet software (e.g., Microsoft Excel or Google Sheets).

  • Export and save a backup of your customer data before making bulk changes, in case you need to revert.


Method 1: Updating customers in bulk from the Customers list

Use this method to update multiple customers at once directly in Ordermentum, without a CSV file.

Step 1: Select customers

  1. Go to the Customers section in Ordermentum.

  2. Check the box next to each customer you want to update.

Step 2: Choose actions

  1. After selecting your customers, click Actions.

  2. Choose the action you want to perform from the dropdown menu.

Available bulk actions:

  • Update Properties — modify custom properties for the selected customers.

  • Apply Profile — update customer terms and groups based on a predefined profile you've set up.

  • Update Visibility — adjust which products your customers can see by updating their visibility tags.

  • Update Customer Status — activate or deactivate customer accounts in bulk.


Method 2: Updating customers in bulk via Importer (Advanced)

For advanced edits and additions, update customer details using a CSV import.

Step 1: Export customer data

  1. Go to Settings > Imports and select Customers.

  2. Download the CSV file of your existing customers.

  3. Save this file as a backup in case you need to revert any changes.


Step 2: Edit the CSV file

  1. Open the CSV file in spreadsheet software (e.g., Excel or Google Sheets).

  2. Make the necessary edits to your customer data.

Keep the following in mind while editing:

  • Optional columns — existing data won't be deleted if optional columns are left blank.

  • Trim spaces — make sure there are no leading or trailing spaces in fields like visibility and pricing group, to avoid creating duplicates.

  • Email validation — check that all email addresses are correctly formatted.

  • Important: don't modify the Customer ID column — it's the primary key the system uses to find and update customer records.

Step 3: Import the updated CSV file

  1. Go to Settings > Imports and select Customers.

  2. Click Upload File and select your updated CSV file.

  3. Ordermentum processes the file and updates your customer details.


Checking your upload status

After uploading a file, you can track its progress in the Upload History section. Go to Settings > Imports and click Upload History to see a list of all your past and current imports.

Each row shows:

  • Type — the kind of import (e.g. Customers, Products, Pricing groups)

  • Status — the current state of the import

  • Uploaded — the date and time the file was submitted

  • Completed — the time it finished processing and how long it took

Status types:

  • Completed — the import was processed successfully

  • Received — the file has been received and is queued for processing

  • Processing — the import is currently being applied

You can also Download any previously uploaded file from this view for reference.


What happens on import:

  • Duplicate Customer IDs — the system ignores duplicate Customer IDs if that customer isn't included in the import file.

  • Notifications — customers are notified of any changes to their business details.

Important notes about uploading the customer CSV

  • Customer ID is the primary key. Don't update this column — the system uses it to find and update or create customer records.

  • Duplicate Customer IDs cause updates to be skipped. If two customers share the same Customer ID, updates won't apply to that customer, even if one record is archived or only one appears in the CSV. Before bulk updating, export all your customers (including archived ones) and check for duplicate Customer IDs. If duplicates exist, resolve one of them in Ordermentum before proceeding.

  • Email addresses are validated — the system checks that all email addresses are correctly formatted.

  • Properties headers need a specific format. When bulk updating properties, the header must follow the format Property: Property Name, with a space between the colon and the property name — for example, Property: Preferred Delivery Day.


Recent improvements to customer import and export

Import improvements

  • Optional data is preserved — existing data isn't deleted if optional columns are missing from the import file.

  • Spaces are trimmed automatically — in fields like visibility and pricing group, to prevent duplicates.

  • Stronger email validation — reduces import errors caused by incorrectly formatted email addresses.

  • Duplicate Customer IDs are ignored — if that customer isn't included in the import file, streamlining the import process.

  • Customer notifications — suppliers should be aware that customers are notified of changes to their business details upon import.

Export improvements

  • Billing Email replaces the legacy email field — for clarity and consistency in exports.

  • Unsupported columns excluded — metadata columns and trade-account have been removed from the Payment Method field, since they aren't supported by the importer and could cause issues.


Best practices

  • Back up your data — always export and save a backup of your customer data before making bulk changes.

  • Check for duplicates — make sure there are no duplicate Customer IDs before importing, to prevent update conflicts.

  • Validate emails — double-check that all email addresses are valid to avoid import errors.

  • Trim spaces — remove leading or trailing spaces in fields to prevent duplication and formatting issues.

  • Use correct header formats — especially for properties, with a space after the colon.

  • Inform your team — let relevant team members know that customers will be notified of changes to their business details.


FAQs

What happens if I accidentally change the Customer ID column?

Don't edit this column — it's the primary key the system uses to match records. Changing it can cause the system to fail to find or incorrectly update the customer record.

Will customers be notified if I update their details in bulk?

Yes. Customers are notified of any changes to their business details, whether the update comes from the Customers list or a CSV import.

Do I need to fill in every column when updating via CSV?

No. Optional columns can be left blank — existing data for those fields won't be deleted.
