Connect Ordermentum to MYOB Advanced

Setup guide for connecting MYOB Advanced to Ordermentum and configuring sync settings.

This guide explains how to connect Ordermentum to MYOB Advanced and configure the customer, product and integration settings required to sync orders, invoices and credit notes.

This guide is for MYOB Advanced, also known as Acumatica. If you use MYOB Business or AccountRight Live, follow the relevant MYOB integration guide instead.

Before you begin

You will need:

  • Access to Settings → Integrations in Ordermentum

  • Your MYOB Advanced URL

  • An MYOB API username and password

  • The MYOB Company ID associated with the API user

  • The relevant MYOB Customer IDs and Inventory IDs for the records you want to sync

1. Connect MYOB Advanced

In Ordermentum:

  1. Go to Settings → Integrations → MYOB Advanced.

  2. Enter your MYOB Advanced connection details.

  3. Select Connect.

Once connected, Ordermentum can begin sending orders to MYOB Advanced. Additional features, including payment reconciliation, invoice syncing and credit note syncing, can be enabled separately.

2. Configure customer properties

Ordermentum uses customer properties to match customers with their corresponding records in MYOB Advanced.

Property Name

Description

myob_customer_id

The Customer ID in MYOB Advanced. Required for every customer you want to sync.

myob_location_id

(Optional) The Location ID for the customer.

myob_freight_tax_category

(Optional) The freight tax category in MYOB Advanced. Required only if Freight Tax Enabled is turned on.

3. Configure product properties

Ordermentum uses product properties to match products and send the correct product information to MYOB Advanced.

Property Name

Description

myob_inventory_id

The Product ID (Inventory ID) in MYOB Advanced. Required for all products included in synced orders.

myob_warehouse_id

(Optional) The Warehouse ID for the product.

myob_product_branch

(Optional) The Branch ID for the product.

myob_uom

(Optional) The Unit of Measure for the product (e.g. EA, KG, CTN).

myob_product_tax_category

(Optional) The Tax Category for the product.

myob_product_location

(Optional) The product location in MYOB.

Customer and product properties can be added manually in Ordermentum. They can also be imported in bulk by the Ordermentum team.

4. Configure product fields in the integration

Product values can also be configured from the Product Fields tab within the MYOB Advanced integration.

This allows you to define MYOB-specific values directly within the integration, including:

  • Inventory IDs

  • Warehouse IDs

  • Units of measure

  • Branches

  • Tax categories

  • Product locations

Which value takes priority?

When the same value is configured in both places, Ordermentum uses the following priority:

  1. The value set in the integration's Product Fields tab

  2. The property stored against the product

This allows you to override a product property without changing the original product record.

5. Configure optional integration settings

Additional settings are available under:

Settings → Integrations → MYOB Advanced

Only enable settings that apply to your MYOB configuration and business processes.

Automatically match payments in MYOB to invoices in Ordermentum.

Cash Account

Set the MYOB cash account reference used for payment reconciliation.

Sync Credit Notes from MYOB to Ordermentum

Automatically sync credit memos from MYOB Advanced into Ordermentum as credit notes. See section below for details

External Invoice Sync

Enable syncing of finalized invoices from MYOB back to Ordermentum.

Mark Invoice as Paid

Mark invoices as paid in Ordermentum when payment is recorded in MYOB.

Customer Order Number

Send the Ordermentum order number to the customerOrderNumber custom field in MYOB.

Customer Order Description

Send the Ordermentum order number to the OrderDesc custom field in MYOB.

Customer Reference Number

Send the Ordermentum order reference to the customerReferenceNumber field in MYOB.

Combined Delivery Date

Set both the delivery and requested dates in MYOB to the Ordermentum delivery date.

Freight Tax Enabled

Enables tax calculation on freight charges in MYOB.

Manual Pricing

Ordermentum is the source of truth for product pricing (default: true).

Override Address

Use Ordermentum's address to override billing and shipping addresses in MYOB.

Requested On Date

Controls whether delivery date or order created date is sent to MYOB.

Send Comments to Description

Send Ordermentum order comments to the MYOB description field.

Send Order Number to Description

Send Ordermentum order number to the MYOB description field (overrides comments if both are enabled).

Warehouse Enabled

Send myob_warehouse_id from Ordermentum to the MYOB line item warehouse field.

Order Type

Specify the type of order created in MYOB (default: SO).

Currency

Currency used for synced orders (default: AUD).

Surcharge Enabled

Add a surcharge line item to MYOB orders.

Surcharge Inventory ID

Set the inventory item used for surcharges (default: SURCHARGE, max 10 characters).

Promotion Discount Inventory ID

The MYOB inventory item used for cart-level promotion discounts. Must be configured as GST-free in MYOB (e.g. DISCOUNT)

Order Status

Define a custom order status for synced orders.

Custom Random Weight Field

Send random weight quantities to a custom MYOB field (e.g. UOM).

6. Sync credit notes from MYOB Advanced

Ordermentum can automatically import eligible credit memos from MYOB Advanced as credit notes.

Enable credit note syncing

  1. Go to Settings → Integrations → MYOB Advanced.

  2. Enable Sync Credit Notes from MYOB to Ordermentum.

How the sync works

After the setting is enabled:

  • Ordermentum checks MYOB Advanced once every hour.

  • It looks for credit memos created or updated during the previous hour.

  • Only credit memos with an Open status are synced.

  • Previously synced credit memos are updated when they change in MYOB.

  • Updating a credit memo does not create a duplicate credit note.

A credit memo is considered Open after it has been released and still has a remaining balance available to apply against an invoice or refund.

Credit memos with the following statuses are not synced:

  • On Hold

  • Closed

  • Voided

First sync

The first time the sync runs, Ordermentum checks for Open credit memos created or updated during the previous 24 hours.

  • After the first run, Ordermentum checks for updates hourly.

  • Historical credit memos are not automatically imported.

Matching requirements

For a credit memo to sync successfully:

  • The customer must already exist in Ordermentum.

  • The customer's myob_customer_id must match the Customer ID in MYOB Advanced.

  • Every product on the credit memo must already exist in Ordermentum.

  • Each product's myob_inventory_id must match its Inventory ID in MYOB Advanced.

The integration does not automatically create missing customers or products.

Customer locations

Credit notes are matched using the customer's myob_customer_id.

When myob_location_id is also set, Ordermentum uses it to match the credit note to the correct customer location.

When no location ID is set, the credit note is matched at the customer level.

7. Credit note sync FAQ

Which direction does the sync run?

The sync is one-way: MYOB Advanced → Ordermentum. Credit memos created or updated in MYOB Advanced can be imported into Ordermentum as credit notes. Changes made to the credit note in Ordermentum are not sent back to MYOB Advanced.

Does the sync process refunds?

No. The integration creates the credit note in Ordermentum, but it does not initiate a refund, apply the credit to a payment method, or process funds through a payment provider. Refunds must be processed separately through MYOB Advanced and/or your payment provider.

Are historical credit notes imported?

No. Only eligible credit memos created or updated after the sync is enabled are automatically imported. During the first run, Ordermentum checks the previous 24 hours. Older credit memos are not backfilled automatically.

What happens when a synced credit memo is updated?

Ordermentum updates the existing credit note to match the latest information from MYOB Advanced. A second credit note is not created.

Does enabling the sync change existing credit note behaviour?

No. The integration only imports credit notes into Ordermentum. Once imported, they follow the existing Ordermentum behaviour for displaying, applying and reconciling credit notes.

What happens when a customer or product cannot be matched?

The credit note will not sync until the customer can be matched using myob_customer_id and every product can be matched using myob_inventory_id. The integration will not create missing customer or product records.

8. External invoice syncing

Ordermentum initially sends an order to MYOB Advanced as a Sales Order. The supplier must then create and release the corresponding Sales Invoice in MYOB Advanced.

Once the Sales Invoice exists, the inbound sync:

  1. Identifies the Sales Order linked to the invoice.

  2. Reads the ExternalRef stored on the MYOB Sales Order.

  3. Uses that reference to match the invoice with the original Ordermentum order.

  4. Syncs the invoice information back to Ordermentum.

9. Troubleshooting

Orders are not syncing

Check the following:

  1. The integration is connected successfully.

  2. The customer has the correct myob_customer_id.

  3. Every product on the order has the correct myob_inventory_id.

  4. Any settings that depend on optional properties have those properties configured.

  5. The integration logs do not contain an error message explaining why the order failed.

A credit note is not syncing

Confirm that:

  1. The credit memo has an Open status in MYOB Advanced.

  2. The credit memo was created or updated within the relevant sync period.

  3. The customer can be matched using myob_customer_id.

  4. Every product can be matched using myob_inventory_id.

  5. The required customer location can be matched using myob_location_id, where applicable.

Can cart-level promotions be synced?

Yes. To configure cart-level promotion discounts, create a non-stock, GST-free item in MYOB Advanced. Copy its Inventory ID, then in Ordermentum go to Settings → Integrations → MYOB Advanced and enter it into Promotion Discount Inventory ID.

Can synced orders be edited in MYOB Advanced?

Yes. Orders can be edited or completed in MYOB Advanced after they have synced. However, Ordermentum remains the source of truth. If the order is later updated in Ordermentum, those changes may overwrite edits made directly in MYOB Advanced.
