This guide explains how to sync credit notes created in Ordermentum with various integrations, including popular accounting software like Xero and MYOB.

Please Note: Credit Notes is currently a Beta feature, and may have some performance issues.

Introduction to Credit Note Syncing

Ordermentum integrates with various accounting platforms, allowing you to automatically sync credit notes.

These are the current supported integrations

  • Xero

  • MYOB


Syncing Credit Notes with Integrations

  1. Automatic Syncing:
    When a credit note is created in Ordermentum, it automatically syncs with your supported accounting platform.

  2. Confirming a Successful Sync:
    To confirm that a credit note has successfully synced with your integration, check the sync timestamp in Ordermentum. Syncing may take up to 30 minutes to complete.


Allocating Credits in Xero

  1. For Customers Paying via Ordermentum:

    • After a credit note is applied in Ordermentum, you will receive a remittance email detailing the invoice from which the credit note amount was deducted.

    • In Xero, approve the credit note and allocate it to the corresponding invoice(s). This ensures that the customer’s payment accurately reflects the credit note and adjusts the outstanding balance accordingly.

  2. For Customers Not Paying via Ordermentum:

    • If a customer’s payment is processed outside of Ordermentum, you will need to manually allocate the credit note in Xero.

    • Approve the credit note in Xero and allocate it to any outstanding invoice that the customer has with your business.


Allocating Credits in MYOB

  1. During Payment Allocation:

    • When you allocate a payment in MYOB, you will be prompted to allocate any synced credit notes to the appropriate invoice(s). This step ensures that the credit is applied correctly, reducing the invoice amount by the credit note value.

  2. Manual Allocation:

    • If necessary, you can manually allocate credits within MYOB. Once the credit note is synced, follow MYOB’s standard procedure for applying credits to outstanding invoices.
