Set up your Integration with Microsoft Dynamics

With the Microsoft Dynamics Integration for Ordermentum, you can seamlessly keep your Ordermentum Invoices in sync with your Dynamics account.

In this guide, you'll learn how to enable the integration, configure your account mapping and start exporting data.

Things You'll Need Before You Get Started

Before starting the integration, ensure you have the following:

  • A Microsoft account with access to Dynamics 365 Business Central.

  • All of your Ordermentum customers added to Microsoft Dynamics.

  • All of your Ordermentum products available in Microsoft Dynamics, with matching SKUs.

  • An admin account for Microsoft Dynamics.


Enable the Integration

Head to the Integration section in Ordermentum by going to:

  • Settings

  • Integrations

Find the Microsoft Dynamics 365 add-on tile, and select Connect.

Once you select Connect you will be asked to sign in with your Microsoft credentials.

After you have signed in, you will be asked to select your Dynamics Production Environment and Company Name

Select the appropriate options and select 'Update' to connect.


Configure Your Customers

There are a few steps you will need to do so that the Integration is able to find your customers.

Setup Properties

You will first need to setup your property, to do this select Settings > Properties from the left panel in Ordermentum.

Select the option to create a Text property.

You will need to create a dynamics_id property, this will be used to sync with the Customer No field inside your Dynamics platform.

Copy the details exactly as they are written below (note: It's case sensitive)

Get your Customer No from Dynamics

The dynamics_id you just created will be used to add your Dynamics Customer Number to your customer in Ordermentum.

From Dynamics, select the Customers tab.

When the customers tab opens, you will see the Customer Number in the first column.

Add your Customer Number to your Ordermentum Customers

To add your Customer Number to your Ordermentum customer, select the Customers tab from the left hand panel in Ordermentum and select one of your Customers.

You will see a Properties tab, populate the "dynamics_id" exactly as its written in your Microsoft Dynamics account.

Configure Your Products

In order for your Ordermentum Invoices to sync correctly to your Dynamics platform, your Ordermentum products will need to be able to sync to your Microsoft Dynamics products.

Find your Products and SKU field in Ordermentum

In your Ordermentum account, select the Products tab in the left hand panel. Here you will see your Products with a column showing the SKU field.

Setup your Products and SKU in Dynamics

From your Microsoft Dynamics account, select the Sales tab and select Items to view your products.

The No field will need to match the SKU field in your Ordermentum account.

Configure Your Dynamics Account

As we add features to the integration, there will be times when we may require an item or settings to be adjusted in your Dynamics account to allow the integration to sync successfully.

Add a Freight Item Charge

When you include freight on your order in Ordermentum we will sync the freight charge to the freight item charge in your Dynamics account.

To create this product, goto Sales > Item Charge in your Dynamics account and create the following products.


Where Do My Invoices Export To?

When an invoice exports to your Microsoft Dynamics account it will be added against the Customers.

Follow these steps to locate the exported invoice.

  • Select Customers

  • Search for your Customer and select it to open the page

  • You will find the invoice against the "Ongoing Sales Orders" section


Marking an Order as Paid from Dynamics

When an order is marked as paid in Microsoft Dynamics, this status will automatically sync and update in Ordermentum, ensuring that both systems reflect the same payment status.

How It Works:

  1. Payment Recorded in Dynamics: Once a payment is processed and recorded in Dynamics, the system will trigger an update for the associated order.

  2. Sync to Ordermentum: Ordermentum will receive this update, and the status of the corresponding order will change to “Paid” within the Ordermentum platform.

  3. Confirmation in Ordermentum: The order in Ordermentum will show a “Paid” status, allowing suppliers and customers to view the payment confirmation without needing to manually update the status in Ordermentum.
